Duties:

Primary Function:

  • Responsible for maintaining the library’s financial records and performs activities related to office administration of the library.

Responsible for promoting the library’s objectives and mission as outlined in the FSJPLA policy; uphold the CLA Statement on Intellectual Freedom; and provide a superior level of service within the duties listed below.

  • Responsible for maintaining all bookkeeping records, financial statements, and all banking procedures; payroll duties & records; petty cash & related records; accounts receivable & payable as approved by the Director and/or the Board.
  • Assist Auditor with year-end financial review.
  • Liaise with Treasurer of the Board, Treasurer of the Friends of the Library Society, and coordinate administration pertaining to Library fundraising events.
  • Maintain the Library’s charitable status and complete various applicable financial reporting and surveys.
  • Administer employee benefit plan.
  • Administer receipting and letters of acknowledgement/gratitude for donations.
  • Maintain and order office, library and staffroom supplies.
  • Responsible for answering telephone calls; addressing those pertaining to duties listed here and directing other inquiries to appropriate departments.
  • Orientation for new employees with regards to timesheets, taxation forms, criminal records check.
  • Responsible for library office mail shipping and receiving outside of Access Services’ mail, including returning duplicate or damaged materials from suppliers.
  • Coordinate mechanical repairs and services, office equipment maintenance; procure quotes and estimates.
  • Coordinate staff and board travel, including accommodations, transportation and conference/event enrolment.
  • Takes initiative in maintaining awareness of modern developments and trends in accounting and office administration by taking advantage of applicable professional development opportunities.
  • Responsible to be proactive in financial duties, to assess new needs as they arise, and to suggest practical means of improving the way we do business to the Director.
