Qualifications and Certificates

  • Diploma or Certificate in Administration is an asset.

  • OFA Level 1 First Aid and H2S Alive tickets.

  • Class 7N BC Drivers License with clean current abstract (Class 5 preferred).

  • PST, CSTS, eGSO, Wildlife Aware are assets.

Experience

  • Previous Administration experience preferred.

  • Work experience in accounting preferred.

  • Computer literacy, including effective working skills of MS Word, Excel and e-mail required.

  • Excellent attention to detail.

  • Good data entry skills.

  • Work well in a team environment.

  • Able to maintain confidential information.

  • Knowledge of payroll processing procedures.

  • Knowledge of standard office procedures and practices.

  • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.

  • Strong work ethic and positive team attitude.

Duties:

The Field Administrator is responsible for a wide variety of administrative duties, including typical secretarial and receptionist duties like answering calls and organizing mail in addition to more complex functions and services, such as arranging travel plans, booking meetings and assisting managers/superintendent/field supervisors. The Field Administrator is also responsible for ensuring time sheets, expenses and job folders are completed and forwarded to the correct location.

Data Entry

  • Monitor daily field activity.

  • Daily invoicing and accounting.

  • Ensure that job costs are allocated to correct cost centers.

  • Ensure time sheets, expenses and job folders are completed and forwarded to the correct location.

Correspondence / Paperwork

  • Organize all field paperwork including safety documentation, orientation and client specific paperwork.

  • Answer and respond to inquiries from clients, field personnel and office staff.

  • Ensure all incoming communications are given to the proper person / department.

  • Ensure monthly time sheets and expenses are handed in and forwarded to the correct location.

  • Some locations may assist with logbook auditing and / or fleet maintenance in the areas of work orders, pre/post trips, 22-point inspections, service sheets and CVIP's.

Assist management

  • Typing of correspondence, reports etc.

  • Assist managers/superintendents/field supervisors when required.

  • Book board rooms, meetings and prepare travel arrangements.

  • Maintain an adequate supply of all office supplies including Log Books, Stationary, Pre/Post Trip books, Employee Handbooks, etc.

Work Environment:  Office and Field

  • Travel is required.

  • Staying in camps and remote areas for 2 to 3 weeks at a time will be required.
